(hereinafter called “the Company”), recognizing the importance of protecting personal information, considers it to be its responsibility to handle personal information appropriately and securely in providing its products and services in accordance with its basic policy for personal information protection and management based on laws and regulations related to personal information protection and the Corporate Philosophy established by the OMRON Group.

1.Definition of Personal Information

The terms “Personal Information,” “Personal Data,” and “Retained Personal Data,” which are defined in the Act on the Protection of Personal Information (hereinafter called “the Personal Information Protection Act”), have the following meanings, respectively:

  1. Personal Information: Information on an individual whereby a specific individual can be identified, such as the name, age, phone number, e-mail address, address, and place of work of the individual, information on products and services purchased by the individual, information on inquiries from the individual, and individual identification codes.
  2. Personal Data: Personal Information constituting a Personal Information database or the like as defined in the Personal Information Protection Act (a collective body of information containing Personal Information which is systematically organized to allow particular Personal Information to be searched for).
  3. Retained Personal Data: Personal Data which the Company has the authority to disclose, correct, suspend use of, and the like.

2.Basic Policy on Personal Information Management

  1. In using Personal Information, the Company will handle it appropriately in compliance with laws and regulations related to personal information protection and JIS Q 15001.
  2. The Company will define the purpose(s) of use of any Personal Information, obtain it by fair means with consent, and use it within the scope of the purpose(s) of use.
  3. The Company will endeavor to ensure the safety of Personal Information by taking appropriate security and corrective measures against risks such as leak, loss, and damage of/to Personal Information.
  4. The Company will respond faithfully and quickly to requests for disclosure, correction, and deletion of Personal Information, as well as complaints regarding such handling.
  5. The Company will regularly review and continuously improve its Personal Information protection management system.

Part of the products and services of the Company provide telecommunications services (as defined in the Telecommunications Business Act) as accompanying services.
The Company will handle Personal Information pertaining to telecommunications services in compliance with the provisions of the Act on the Protection of Personal Information and the Telecommunications Business Act and other applicable laws and regulations pertaining to secrecy of communications, as well as the Guidelines on Personal Information Protection in Telecommunications Business (Public Notice of the Ministry of Internal Affairs and Communications), as the “laws and regulations related to personal information protection” stated in the above Policy.

The Company, examined by the Japan Information Technology Services Industry Association (abbreviated as “JISA”) regarding Personal Information protection, is certified by JIPDEC as eligible for the Privacy Mark.

5.Purpose of Use of Personal Information

The Company will obtain Personal Information necessary for its business operations associated with the provision of its products and services, for the purpose(s) of use stated in 2. below in the business stated in 1. below and handle it to the extent of such purpose(s).

  1. Business outline of the Company:
    1. planning, development, manufacture, sale and installation, and maintenance of OMRON Group software;
    2. sale and maintenance of language processing, image processing, and security products, and development of software for embedded equipment; and
    3. credit settlement support and point services, short-circuit, demand, and energy monitoring services, various system monitoring, data center operation, ATM and other solutions for financial institutions, health solutions, and solutions for manufacturers.
  2. Purpose of use
    1. Provision to customers and maintenance of products and services handled by the Company and its affiliated companies (hereinafter called “Products, Etc.”) including:
      • execution, and keeping and managing the records, of maintenance services for Products, Etc. such as delivery, installation, quality assurance, and after-sales services;
      • acceptance, execution, and keeping and managing the records, of repairs of Products, Etc.; and
      • provision and notification of upgrading services;
    2. planning, research, development, manufacture, sale and installation, quality improvement related to Products, Etc., and provision and giving information of/on e-mail newsletters, direct mails, notices, advertisements, and the like regarding Products, Etc.;
    3. management of contracts related to provision of Products, Etc. purchased or applied for by customers and other business activities including:
      • execution, and keeping and managing the records of, receipt and refund processing of payments for Products, Etc.;
      • execution, and keeping and managing the records of, communication and response of/to recall and defect information;
      • user and member registration and management thereof;
      • management of seminar attendance;
      • response, confirmation, and keeping the records to/of customer inquiries, quality improvement in inquiry response, and operator education;
      • communication regarding transactions and business negotiations; and
      • communication and performance of contracts, etc. to/with suppliers;
    4. information provision and implementation on/of campaigns, exhibitions, and other events related to Products, Etc. (including selection of winners by lot and sending of premiums, rewards, etc. associated with campaigns, exhibitions, etc.);
    5. provision and sending of material or samples such as catalogs and CD-ROMs regarding Products, Etc.;
    6. investigations and analyses of questionnaires and the like regarding Products, Etc.;
    7. ensuring security at each location of the Company by access control, checking for intruders from outside, and crime prevention measures;
    8. information provision, communication, notification, employment selection procedures to/for applicants at the Company and employment procedures for new employees.

6.Joint Use

  1. Joint use with OMRON Corporation and its affiliated companies
    The Company will use Personal Data jointly as follows:
    1. Scope of joint users
      OMRON Corporation and its affiliated companies
    2. Purpose of use of joint users
      As stated in “5. Purpose of Use of Personal Information” above.
    3. Items of Personal Data jointly used
      The name, address, place of work, and images of, and information on products and services purchased by, an individual.
    4. Name of the person responsible for management of Personal Data jointly used
      OMRON Corporation (For its address and representative, please refer to the Corporate Profile page.)
  2. Other joint use
    When jointly using Personal Data apart from the uses outlined above, the Company will directly notify the relevant individual of, or publish on its website or otherwise publicly announce such use, the items of the Personal Data to be jointly used, the scope of the joint users, the purpose of use of the users, and the person responsible for management of the jointly used Personal Data, in advance.

7.Providing Personal Information to Third Parties

7.1 Restriction on third party provision

The Company will not disclose or provide Personal Data to a third party without obtaining the relevant person's prior consent except:

  1. where it is based on laws and regulations;
  2. where there is a need to protect the life, body, or property of a person, and it is difficult to obtain the consent of the relevant individual;
  3. where there is a special need to improve public health or promote healthy child development, and it is difficult to obtain the consent of the relevant individual;
  4. where there is a need to cooperate with a national government organ or local government or a person entrusted thereby performing affairs prescribed by laws and regulations, and obtaining the consent of the relevant individual may interfere with the performance of such affairs;
  5. where Personal Data is provided associated with subcontracting of all or part of the handling of such Personal Data to the extent necessary to achieve the purpose of use stated in “5. Purpose of Use of Personal Information” above; in this case, the Company will make an agreement with the subcontractor regarding the handling and security protection of Personal Information for appropriate control;
  6. where the Personal Data to be jointly used with the joint user(s) stated in “6. Joint Use” above is provided to such user(s); and
  7. where Personal Data is provided associated with business succession due to a merger or other circumstances.

7.2 Restriction on provision to third parties in foreign countries

Except in the cases listed in 1 to 4 of 7.1, the Company will not disclose or provide Personal Data to a third party (excluding those who meet the standards specified by the Personal Information Protection Committee) in a foreign country (excluding those specified by the Personal Information Protection Committee; the same will hereinafter apply) without obtaining the relevant person's prior consent.
In case of providing to a third party in a foreign country which meets the standards specified by the Personal Information Protection Committee, regarding the provision to the relevant individual of information such as the management system for the Personal Data the Company is to oblige such third party to establish and the name of the country where such third party is located, the Company will directly notify or send its reply to the inquiry to, the relevant individual, or publish on its website or otherwise publicly announce such provision.

8.Management Measures to Keep Personal Data Safe

The Company takes necessary and appropriate security management measures to control Personal Data including leak, loss, and damage prevention measures. Personal Data is disposed of in an appropriate manner when the purpose of its use is achieved based on the retention period prescribed according to the purpose of use. The Company additionally exercises necessary and appropriate supervision over its employees and subcontractors (including their subcontractors) handling Personal Data.

9.Procedure for Responding to Requests for Disclosure, Etc.

The Company will respond as soon as possible to requests for disclosure, correction, addition or deletion, suspension of use, or erasure of/to Retained Personal Data (hereinafter called “Request for Disclosure, Etc.”) to a reasonable extent. The procedure thereof will be as follows:

  2. Documents (forms, etc.) to be submitted for a Request for Disclosure, Etc.

    When making a Request for Disclosure, Etc., please download and fill out completely the following request form a. Then send the document b. for identification to the contact stated in 1. above.

    2. Document for identification

      A copy of either of the following:

      • Driver's license;
      • Passport;
      • Health insurance card;
      • Certificate of Alien Registration; or
      • Certificate of residence (if requesting by mail).

        • Family register; or
        • Abstract of family register.

         [For statutory agents of adult wards] (a copy of either of the following)

        • Certificate of registered matters; or
        • Ruling of commencement of guardianship.

        [For appointed agent] (both of the following)

        • Power of attorney (with an impression of registered seal); and
        • Seal registration certificate of the principal who appointed the agent.

        [For persons qualified to serve as agents appointed to execute the business such as attorneys, judicial scriveners, and administrative scriveners]

        • Material proving the relevant qualification (such as the registration number and a seal registration certificate pertaining to an official seal).
  3. Method of replying to Requests for Disclosure, Etc.

    The Company will reply by the method stated in the Request Form.

  4. Cases where the Company cannot meet the Requests

    The Company cannot meet a Request for Disclosure, Etc. in cases prescribed in laws and regulations and where there is any insufficiency in the items stated in 2 above.
